RUKUTAI INTERNATIONAL PTY LTD (ABN: 70 120 458 835) is not itself a carrier, hotelier or car hire operator. The flights, cruises, rail and coach journeys, other travel and hotel accommodation, car hire, visitor activities and any other components included in your tour package are provided by reputable carriers and hoteliers on their own conditions. It is important to note, therefore, that all bookings with RUKUTAI are subject to the terms and conditions and limitations of liability imposed by the various providers involved in your travel booking, some of which limit or exclude liability in respect of death, personal injury, delay and loss or damage to luggage.
RUKUTAI’s China business group tour package prices are subject to availability and change without notice.
Validity: Dates and itineraries are valid until 31 December, 2019. Dates and itineraries from 1 January, 20202, are indicative only.
Not Included: The costs of interstate, intrastate and international travel arrangements from the hometown of RUKUTAI tour participants to and from the international destination and departure city in China. The price of airport departure taxes, airport transfers to and from the China host hotel, passports and visa fees, reconfirmation of flights, travel insurance, items of a personal nature such as laundry, taxis, business services, telephone calls or messages, excess baggage charges, personal, baggage or insurance of any kind, postage and cables, alcoholic beverages, drinks or bottled water unless specified, snacks, room service or meals unless specified, and any fees or charges payable direct by you to a third party. Because of discounted hotel accommodations rates and airfares through Flight Centre Business Travel, no frequent hotel traveller benefits are available for hotel room stays or domestic China airlines during RUKUTAI China business tours or private sourcing tours.
RUKUTAI’s worldwide preferred travel supplier is Flight Centre Business Travel, a member of the Flight Centre Travel Group (FCTG). They act only as an agent for those product providers. It is, therefore, important for you that you obtain and read the product provider’s terms and conditions applicable to the product or inclusions in your package, and make sure you are aware of any exclusions or limitations of liability imposed by the product or service provider.
Limit of Liability: RUKUTAI does its best to make sure that your arrangements are satisfactory. However, many of the goods and services offered are supplied by third parties. RUKUTAI excludes all liability for any loss or damage whatsoever that may arise in any way in connection with the offer of goods and services by RUKUTAI or any third parties, or in connection with supply of services. In the cases where RUKUTAI does accept liability, the maximum amount to be paid will equal the amount paid for their package tour.
Amendment and Document reissue fees: RUKUTAI reserves the right to charge amendment fees if you alter your requirements more than once in any given package booking, in addition to any charges imposed by operators and suppliers. A document reissue means an alteration to an existing package booking and not a transfer to another package, wherein cancellation fees may apply.
Passports & Visas: Passports are required for travel with a minimum validity of six (6) months from date of return for single-entry China visas. Passports for those travelling on 12-month multiple entry China visas require a minimum validity of 15 months from date of return. Some countries require a machine-readable passport. All foreign passport holders require a visa to travel into China. This is the responsibility of the passenger to obtain. It is important you ensure you have a valid passport, visas and re-entry permits which meet the requirements of immigration and other government authorities. Any fines, penalties, payments or expenditures incurred as a result of such documents not meeting the requirements of those authorities will be your sole responsibility. We do not warrant the accuracy of information provided by any external service and accept no liability for any loss or damage which you may suffer in reliance on it.
Travel insurance is required for all RUKUTAI China business group tour participants to protect the cost of your tour and any travel-related expenses in the unlikely case that any issues arise. Please ensure you have adequate travel insurance to cover any unforeseen cancellations. You are responsible for arranging all of your travel insurance. As such, you are responsible for selecting and purchasing the travel insurance policy of your choice. Your travel insurance MUST cover at least the following: cover against tour cancellation, plus cover for personal liability, injury, medical emergencies and medical evacuation, visa decline, repatriation in case of death, and others as recommended by your travel agent. Cover can be obtained for such things as loss of deposit through cancellation, visa declines, loss or damage to personal baggage and loss of money; medical expenses; additional expenses to cover hotel accommodation and repatriation costs to your point of origin should the tour package need to be extended or curtailed due to illness while overseas; or due to the need to return to your point of origin because of unexpected death or illness of a close relative and cancellation of transport services due to industrial action.
Pre-existing medical condition: If you are taking medication or have been to the doctor in the past 30 days, you should advise your travel insurer so that the condition is covered in your policy. You may be required to complete a pre-existing form which must be signed by your doctor and assessed by your travel insurance company. An additional premium may be payable to them.
How to Book: Select your preferred RUKUTAI China business group tour date and complete the RUKUTAI booking and payment process on our web site. Please note that all group tour reservations are subject to availability at the time of booking. RUKUTAI’s tour prices are subject to variable and seasonal pricing, both of which are standard practice within the travel industry. This means our China business tour prices may vary at any time in accordance with demand, market conditions and availability. RUKUTAI’s China business tours are specifically for fluent English-speakers. Prospective participants who do not speak or understand English can inquire about joining any of our China group tours for a higher package price. Their acceptance is predicated on whether RUKUTAI’S product sourcing partner have a professional sourcing negotiator/translator that speak their language fluently. The higher package price is because non-English speakers will require translators/guides for nine (9) days – instead of five days for all English-speaking participants.
Deposit: A USD$1,000 non-refundable deposit is required to reserve an available position on any of our RUKUTAI China business group tours – which are currently limited to 20 persons per group tour, unless otherwise specified. Payment of the deposit means you have read and accepted these terms and conditions. Your deposit reserves your spot on the tour, but is subject to cancellation if full payment is not made by the due date. A deposit holds services requested, but does not guarantee prices. If other prospective RUKUTAI tour participants on the tour WAITLIST are ready to make immediate full payment, you will be given three (3) business days to make your full payment before your ‘reserved’ spot is withdrawn and passed to the “waitlisted” full-payment participant.
Group tour or private tour full payment requirements: Full payment of RUKUTAI China business tour or private sourcing tour packages is due no later than 35 days prior to selected tour date commencement. If, for any reason, we do not receive your full payment by the due date, we reserve the right to treat your booking as cancelled and apply the appropriate cancellation charges. Late bookings are subject to full payment being received at the time of booking and full payment of any additional costs incurred for obtaining the services required.
China Letter of Invitation: Full tour payment also activates request and release of the formal Letter of invitation from China for Business Entry Visa from RUKUTAI’s China product sourcing partner. This Invitation Letter is required by China’s government and must be submitted with your application for a China business visa. Your full payment confirms your spot on the tour. If you come from IRAQ, IRAN, PAKISTAN, AFGHANISTAN, NIGERIA, SRI LANKA and BENIN, you will be required to pay as much as USD$900 for a special government-issued Letter of Invitation. Any invitation letter issued is an informal letter and no guarantees are made about the China visa application process.
Only with full tour package payment will you receive your pre-departure information. RUKUTAI will email a reminder when the balance for your tour needs to be paid that week, or your booking may be cancelled.
Credit card payments: Credit card payments incur a surcharge for Mastercard and Visa as charged by these companies. A surcharge of 2.9% (Visa and Mastercard) will apply if payments are made by credit card. Depending on the country you are booking from, please note that we may not accept American Express and Diners cards and, if we do, a credit card surcharge of 3.9% will apply. Each RUKUTAI China business tour pricing package is based on a minimum number of 10 participants. Final package pricing will be published at least two months or 60 days before each tour and are subject to availability and change without notice.
Foreign Currency payments: All RUKUTAI China business tour package pricing and product sourcing service fee is costed only in United States Dollars (USD) currency.
Payments handling: RUKUTAI does NOT have access at any point to our user’s financial data and does NOT store any financial or sensitive user data on our servers. User data such as credit card numbers, bank accounts or SSNs are immediately and securely transmitted to our payment provider with BANK-GRADE SSL ENCRYPTION. When you book or pay for RUKUTAI’s China Business Tours, private sourcing tours or RUKUTAI’S product sourcing fee through our web site, your payments go directly to our payment provider (www.stripe.com in the US; and www.mangopay.com for Australia, Europe, Canada and South Africa), two of the world’s leading payment providers. MANGOPAY (www.mangopay.com) is owned by Crédit Mutuel Arkéa, one of the largest banks in Europe. RUKUTAI’s payment provider in the United States is STRIPE (www.stripe.com) is one of the world’s largest payment providers, used by many large internet companies such as Facebook and Twitter. Both are used by many of the world’s largest internet company and retailers. Throughout this process, all RUKUTAI group tours, private product sourcing tours and product sourcing service fee payments are immediately and securely transmitted to our abovementioned payment providers with bank-grade SSL encryption.

RUKUTAI China business tours, tours and product sourcing service fee will be shown on your credit card or bank account statement as follows: AUD, EUR, GBP, CAD, ZAR payments – You will see “WETRAVEL” as the statement descriptor in your credit card or bank account statement. USD payments– You will see the first 22 characters of the RUKUTAI product description as the statement descriptor in your credit card or bank account statement.
Cancellations, alterations and refunds: Cancellations of China tour package payments or payments for RUKUTAI and its China sourcing partner’s product sourcing services by the client must be in writing to RUKUTAI and are subject to the following forfeit of cost per person:
- Cancellation of tour package 60 days or more before departure date: 20% of the package value lost
- Cancellation of tour package between 59 days and 35 days before departure date: 50% of the package value lost
- Cancellation of tour package less than 35 days before departure date: 100% of the package value lost.
- Deposit payment of USD$1,000 for China group tours is non-refundable.
Tour Cancellations: Cancellation of your booking often does not allow time for the re-sale of your space on the tour. The deposit paid on booking your tour is non-refundable, non-transferable and serves as a cancellation fee. RUKUTAI reserves the right to cancel or reschedule any tour departure in accordance with operating requirements like not meeting the minimum 10-participant requirement to maintain group hotel discounts or circumstances beyond our control. RUKUTAI is not responsible for any costs for other travel arrangements affected due to cancellations of rescheduling of any tour departure. If you cancel or terminate your booking, any deposit paid will be forfeited. After final payment is made, the package booking will be subject to fees imposed by airlines, ground operators, hotels and China sourcing company service fees amounting to all or part of the cost paid. This also applies to declined visas. Based on factors outside our control, there is always a chance visas may not be approved. In the case of visa declines, travellers will not receive a full refund from airlines based on the ticket type purchased, hotels, ground operators and China sourcing company fees or non-refundable deposits at least 30 days prior to each tour date. We strongly recommend you purchase Travel Insurance that cover visa declines. Some tours may have different cancellation terms and these will be advised accordingly in the tour itinerary. RUKUTAI reserves the right to cancel or re-schedule any tour departure. Reasons for cancelling a tour may be due to not filling the minimum number of participants (10), political instability, terrorism, natural disasters, or other such circumstances, which may make a tour non-viable. If cancellation is made prior to departure by RUKUTAI due to any of the above, RUKUTAI will re-book them on another tour if the participants so wishes. In that instance, the actual cash amount received in our bank account from the participant for the cancelled tour will be credited toward the cost of the rebooked tour. Additional payment will be required if the rebooked tour price is higher because of seasonal price increases.
Changes in Prices and Itineraries: All RUKUTAI China product sourcing business tour package prices and product sourcing service fees are only costed in United States Dollars (USD) in all countries. Prices are inclusive of taxes and charges, but do not include any fees that may be imposed by third parties. Prices are provided as a guide only and may vary due to changes in taxes or charges or due to currency fluctuations. Please note the price of your arrangements may change at any time up to 35 days before your departure, even if you have paid all or part of your quoted tour package. While every care is taken in providing accurate prices and information, fluctuations can occur which are beyond our control. If we have to change any of your arrangements for reasons beyond our control – for example if an airline changes its schedule, if a hotelier overbooks hotel accommodation or if there are any changes in applicable taxes or charges – we will notify you. If such changes result in your tour package costing more or otherwise being materially different from the original package, then you may cancel the tour package and we will refund any monies already paid, less charges levied by suppliers. The cost of escorted tours may vary according to the number of passengers on the tour. If numbers drop below a certain level (15 participants), the cost of the tour may be subject to increase.
RUKUTAI product sourcing “service fee” conditions, cancellation, credit or refund: More than one or multiple business entrepreneurs are not permitted to combine multiple separate product sourcing requests with one USD$500 RUKUTAI product sourcing service fee. Such incidents will warrant immediate and full payment to RUKUTAI of USD$500 product sourcing service fee by each individual business owner or entrepreneur in order for their separate product sourcing work to continue. At its discretion, RUKUTAI may terminate its business relationship with business owners or entrepreneurs who wilfully or knowingly abuse RUKUTAI’s product sourcing service fee use. Cancelation of the USD$500 service fee payment for product sourcing search in China by RUKUTAI or its China sourcing partner is non-refundable once work has commenced at the request of the client by submission of product sourcing questions when payment is made because of the time, manpower, research and China resources involved in sourcing, researching and pricing client product(s) from hundreds of reputable potential suppliers. This one-time USD$500 service fee will be 100% credited in full to client’s first paid single order of USD$10,000 or more for product(s) or goods – excluding any related logistics expenses. Another option for 100% full credit of this USD$500 service fee is RUKUTAI product sourcing clients who have paid this service fee may subsequently book or pay to participate in one of RUKUTAI’s group China Business Tours. They will receive a one-time USD$500 price reduction exemption for any RUKUTAI group China Business Tour package ONLY if they make full payment of this group tour package directly with RUKUTAI principals and not through any of its authorised agents or third-party representatives. RUKUTAI product sourcing clients can only choose one of the two abovementioned options to receive 100% credit for their USD$500 service fee. They cannot and are not eligible to receive payment credit for both options above. RUKUTAI CHINA GROUP BUSINESS TOUR PARTICIPANTS DO NOT PAY THIS PRODUCT SOURCING SERVICE FEE.
Goods and Services Tax (GST): All prices and charges are inclusive of Australian GST where applicable.
Refunds: No refund of any kind is available for cancellations after RUKUTAI’s China business tour package has commenced in respect of any accommodation, tours, product sourcing visits, meals or other services not utilized. If the weather causes any planned activities to be cancelled or rescheduled, RUKUTAI will only refund any monies that suppliers refund to us. However, please note in most cases this does not occur.
RUKUTAI will constantly strive to improve tour itineraries and features in the future based on feedback and client requests. If such improvements can be made, or unforeseen circumstances beyond our control make changes necessary, we reserve the right to vary itineraries and to substitute comparable 5-star hotels.
Airfares: All airfares are subject to availability and special conditions apply to the fares used. Any airfare deadline will override the published final payment date and, if not paid within the time frame, may result in increased charges. All airline bookings are subject to the general conditions of that carriage. All bookings are subject to the acceptance of the booking conditions on behalf of all persons named in the booking.
Baggage: Please check with the airlines for full details. RUKUTAI is not responsible for excess baggage charges. Due to space available on the bus coaches, we ask that you bring only one large suitcase per person as well as carry on hand luggage.
China Business Tour participation: RUKUTAI reserves the right to withdraw from the tour any person whose behaviour does or is deemed likely to affect the smooth operation of the tour or adversely affect the enjoyment or safety of any other passengers. RUKUTAI will be Under No Liability to any such person for refund, compensation, repatriation or any other matter arising.
Group Tour Authority: RUKUTAI China group tours are run by a group leader(s). The decision of the group leader(s) is final on all matters likely to affect the safety or well-being of any traveller or staff member participating in the tour. If participants fail to comply with a decision made by a group leader or interfere with the well-being or mobility of the group, the group leader may direct participant(s) to leave the tour immediately, with no right of refund. RUKUTAI may also elect not to include the participant on any future tours booked. Participants must at all times comply with the laws, customs, foreign exchange and drug regulations of all countries visited, and participants also agree to travel in accordance with RUKUTAI’s responsible travel guidelines.
Smoking: Smoking is not allowed in any RUKUTAI booked transport, shared hotel rooms or RUKUTAI group functions.
Alcoholic beverages: Alcohol is not allowed and will not be included, paid for or served at any official or private RUKUTAI function. This excludes third party venues like hotels, executive lounges or restaurants open to the public that RUKUTAI tour participants may congregate on their own outside of official or formal RUKUTAI scheduled events or activities.
Product Description: Are based on current information provided by transport providers, hotels, China sourcing company, visitor activities and suppliers. Any facilities shown as included are subject to change at any time. The standard of accommodation and other services are based on various factors, which are generally accepted as indicative of certain class. However, we do not guarantee the standard, class or fitness for purpose of that accommodation or service.
Health and Immigration: You should familiarise yourself with any health or visa requirements that may be applicable in the countries or areas you intend visiting. You are responsible for all exit, entry, health and other documents required by laws, regulations, offers demands or requirements of the countries visited or transited. Each person shall carry a valid passport for international travel with a least six months validity.
RUKUTAI cannot accept responsibility for your failure to ensure that you have correct travel information.
Events Beyond Our Control: RUKUTAI does not accept any liability whatsoever for any injury, damage, loss, delay, additional expenses or inconvenience caused directly or indirectly by any events which are beyond its control – including but not limited to war, civil disturbance, fire, acts of God, acts of Government or any other authorities, accident to or failure of machinery of equipment or industrial action.
Destination Passenger Enquiries: RUKUTAI makes no representations as to the safety conditions of a destination. International travel advice can be obtained from various sources, including local government, local consular offices and the Ministry of Foreign Affairs and Trade in different countries.
Use of name, photographs, videotapes and recordings: I grant permission to RUKUTAI for the use of my name, photographs, videotapes and recordings in connection with the tour. No employee, servant or agent of RUKUTAI has the authority to vary these conditions.
I understand that this is a release of liability and a contract between myself and RUKUTAI and/or its contracted tour operators, agents or affiliated organizations, and I agree to these terms and conditions of my own free will. If any part of this agreement is deemed unenforceable, all other parts shall remain in full force and effect. By reserving a tour with RUKUTAI, I agree to be bound by these terms.
These Terms and Conditions and any contract to which they apply are governed in all respects by Australian Law and they shall be subject to the exclusive jurisdiction of the courts of Queensland, Australia.
